What goes in a flooring estimate?

Area plus waste
Measure each room, add a waste allowance for cuts, and show the total you're ordering. Diagonal and herringbone layouts waste more than a straight lay.
Removing the old floor
Carpet comes up fast; glued-down tile or sheet vinyl doesn't. Say what's coming out and that disposal is included.
Subfloor prep
Flooring makers set a flatness limit for their warranty. Getting the subfloor within it is real work, so price it or say it's extra if found.
Trim and transitions
Baseboard, quarter round, thresholds at doorways and reducers to other floors. These are the lines that get forgotten and come up at the end.
Furniture and appliances
Say who moves them, and who disconnects and resets the fridge, washer or toilet.

Writing a flooring estimate that gets approved

  • Test moisture before you quote a floor over concrete, and note the result. A floor over a damp slab fails, and the reading shows you checked.
  • Check door clearances. A thicker floor can mean trimming door bottoms; put it on the estimate if it's yours to do.
  • Write the product name and color on the estimate, and the lead time if it has to be ordered.
  • Say you'll leave the leftover boxes. The client will want them the day a board gets damaged.

Questions

How much waste should a flooring estimate include?
The waste allowance depends on the product, the layout and the room. Check the flooring maker's installation guide, which often gives a figure, and add more for diagonal or herringbone layouts and for rooms with many corners and closets.
Should acclimation time be on the estimate?
For solid hardwood and some engineered and laminate floors, the maker's instructions call for the boxes to sit in the room before installation, and the time varies by product. If the schedule depends on it, note it on the estimate.
What about removing old vinyl flooring?
Old vinyl tile, sheet flooring and the adhesive under them can contain asbestos in older homes. If you're unsure, have it tested before you quote the removal. Abatement, if it's needed, is specialist work and a separate price.
